What should be checked before the event?

Good preparation beforehand ensures that your photos will be processed smoothly on the day of the event and afterwards. Here is a comprehensive checklist to go through before each event.


Your Sportpxl account #

  • Check your credit balance — ensure you have enough credits for the volume of photos you plan to take. Top up if necessary from 'My subscription'.
  • Check the expiry date of your subscription — an expired subscription will prevent photos from being imported.

Your album #

  • Album created with a name, description, and event date entered
  • Prices set if you sell your photos — see the article "Setting download prices"
  • Imported or created package template if required — see the article "Creating a package template"
  • Confidentiality status defined — "Pre-registration" to collect registrants in advance, "Closed" during import
  • Public URL of the album ready for distribution

Your attendees #

  • CSV file of participants imported if you are using name identification — see the article "Importing a CSV file of athlete contacts"
  • Up-to-date headcount if you use the Headcount algorithm — see the article "Understanding headcount management"
  • Explicit consent obtained if you use facial recognition — see the article "Managing image rights at a mass event"

The day of the event #

  • Printed QR code linking to your album or pre-registration
  • Information panel displayed if you are using facial recognition
  • Photocall organised where relevant to improve the quality of identifications — see the article "Making the most of photocalls"
  • Photo equipment checked — memory cards formatted, batteries charged, lenses cleaned

Your communication #

  • Link to the album sent to the organiser for distribution to participants
  • Scheduled post on your social media channels after the event
  • Email or SMS campaign prepared if you use Net Helium — see the article "Distributing photos by email & SMS"

💡 The more you plan ahead, the fewer surprises you’ll have on the big day. A configured album, sufficient credits, and a CSV imported before the event allow you to focus on shooting rather than administration.
