Communication during the event is an often underutilised opportunity. It is the ideal time to capture participants’ attention when they are at their most enthusiastic and encourage them to view their photos after the event.
Your presence in the field #
- Make yourself visible — wear a T-shirt or badge clearly identifying your role as the event's official photographer.
- If you have a stand, clearly display your name, logo and link to your Sportpxl album.
- Interact with attendees — direct engagement creates a connection and increases the likelihood that they will look for their photos after the event.
Display the album link #
- Print a QR code linking to your album and display it at your stand, at the finish line, or at key points along the route.
- Suggest that the organiser display the QR code on their own media (notice board, results screen, registration table, etc.).
The photocall #
If you are organising a photocall at departure or arrival:
- Place it in a visible, well-lit spot.
- Encourage participants to take a photo from the front, with their race number clearly visible.
- Briefly explain to them that this photo will allow them to be automatically identified in all their race photos — see the article "Making the most of photocalls".
Providing information about facial recognition #
If you use an algorithm with facial recognition, display a visible information sign stating:
- That biometric data is collected for the purpose of facial recognition
- How participants can exercise their right to erasure
- The link to your public Sportpxl profile or your contact email address
💡 Hand out a small flyer or card with the QR code for your album to participants upon arrival — this is when they are most eager to find their photos.
